Top tips on writing a letter
Many people feel daunted by the prospect of having to write to their MP, councillor or
any other official body. However, what you need to remember is that such letters are
welcomed as they help to shine a spotlight on issues concerning people in the local
community. It is only by highlighting an issue that decision makers and local
representatives can take stock of what is happening within their community and bring
these issue to wider attention.
Here we share some tips so you can write with confidence!
Layout
• Make sure you include your full name and address. This shows that you are a
local resident and also ensures that your letter can be responded to
• Keep it short – one side of A4 should be enough
• If writing you letter by hand, make sure it’s legible!
• If printing your letter, remember to sign it personally
• Use bullet points to highlight your arguments.
Content
• Write in your own words, this shows you are a real person adding the all
important human touch
• Stick to one key issue per letter e.g. prescriptions or diagnosis or eating out.
Trying to cover too much will lead to confusion and water down the message
• Be clear and concise
• Make reference to:
o What has happened
o When it happened
o Who is responsible for the change
o Who is affected e.g. you, your child, your partner
o What the impact is e.g.
on your day to day life
on your finances
on your overall health
on your diet
• Prove a clear ask in regard to what you want them to do e.g.
raise the issue with the NHS
raise the issue with local media
attend the next meeting of your Local Group
call for the policy to be reversed
call for a specific change to the policy
• If you have facts to support your position make sure you include them!
Tone
It’s important to give some time and thought to the tone of your letter. It you come
across as an angry person just having a rant your letter may end up in the bin. Be
polite and courteous and highlight your issues in a clear and concise way.
